HowToCloseCompany.uk is operated as an informational and software service for UK company directors. References to “we”, “us”, or “our” in this policy refer to the operator of this website. You can contact us at hello@howtoclosecompany.uk.

We are committed to protecting your personal data and processing it in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What data we collect

We collect the following categories of personal data:

  • Account data: your email address and password (stored securely via Supabase Auth).
  • Company data: company name, number, registered address, and closure details you provide during onboarding.
  • Payment data: Stripe processes your payment. We store only your payment tier and session reference — we never see your card details.
  • Usage data: with your consent, we may collect anonymised analytics data about how you use the service (pages visited, time on site). We do not use this data to identify you individually.
  • Communications: if you contact us by email, we retain your correspondence.

3. How we use your data

We use your personal data to:

  • Provide and improve the HowToCloseCompany service
  • Generate your personalised closure plan and task checklist
  • Process your payment and maintain your account
  • Send you service emails (welcome email, task reminders) — you can opt out at any time
  • Comply with legal obligations

We do not sell your personal data to third parties. We do not use your data for automated decision-making that has legal or similarly significant effects on you.

4. Legal basis for processing

We process your data on the following legal bases:

  • Contract: processing necessary to provide the service you have purchased.
  • Legitimate interests: service emails, security, and fraud prevention.
  • Consent: analytics cookies (you can withdraw consent via the cookie banner at any time).

5. Cookies

We retain your account and company data for as long as your account is active and for up to 2 years after you close your account. You may request deletion at any time (see section 8).

7. Third-party processors

We share data with the following processors, each of whom processes data only on our instructions:

  • Supabase — authentication and database hosting (EU data centre).
  • Stripe — payment processing (PCI DSS compliant).
  • Resend — transactional email delivery.
  • Vercel — application hosting.

8. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Rectification of inaccurate data
  • Erasure (“right to be forgotten”)
  • Restriction of processing
  • Data portability
  • Object to processing based on legitimate interests
  • Withdraw consent (for analytics cookies)

9. Complaints

If you believe we have not handled your data correctly, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk, or call 0303 123 1113.
